Waugh Chapel Swim Team Volunteers:
• This is not soccer-in order to run 1 swim meet it takes 50 volunteers!
• At most meets, when your child is swimming, a parent will be needed to volunteer for ½ the meet.
• Volunteer Coordinators will assign positions based on preferences whenever possible.
• Assignments will be posted prior to the meet, if you cannot work an assigned position, please find a replacement and notify the Volunteer Coordinator of who will be taking your place.
• In most cases, children will not be able to be with you while you are volunteering.
• Failure to work an assigned job or find a replacement will result in a warning on the first occurrence and suspension from the team for the remainder of the season on the second occurrence. Status of suspended families will be considered probationary for the following season.
Concessions:
•
Table Workers-Assist with swimmer cards and results (sitting in the shade).
Each swimmer has a prewritten card for each event they will swim. Before the meet (at 8am), these cards get merged with the cards from the other team to determine how many heats and in which lane the swimmers will swim. After each event the cards are returned to the table where final places are determined and results are recorded.

Runner-Takes the cards from the swimmers and timers to the table workers (constantly walking/running around the pool in the sun-good workout).
Each swimmer has a prewritten card for each event they swim. The Runner picks up the card at the conclusion of each event and takes it to the table workers. When younger children are swimming, the events are only one lap, so the card must be taken from the swimmer at one end of the pool to the timers at the other end just before they swim so that their times can be recorded.

Timers-Times swimmers and events (standing in the sun at the edge of the pool-probably will get wet).
Before the meet starts, all timers meet, as a group, with “Meet Official” who will explain details of timing and have a “practice timer check” to be sure you understand how the watch works and the detail of your position. You stand at the end of the lane with two other volunteers (at least on from the other team). You start your watch with the start of each event and end it when the swimmer touches the wall. One of you will also be collecting a card from the swimmer or Runner and writing down the times, and if the swimmer was disqualified (DQ). The cards are then picked up by the Runner. If you miss a start, just raise your hand. There is a Head Timer that starts an extra watch and will give it to you for that race so you can get a time.

Hospitality/Floater-Delivers water to meet volunteers and fills in where needed. (May be in the sun or shade).
Fills in any volunteer position when needed. Finds out what events children of Table Workers and Concessions are swimming in, to fill in their positions so they can watch their children swim. Delivers water to volunteers. Is available to fill-in while volunteers take restroom breaks.

Ribbon writers- Fills in ribbons based on event results (in the shade).
Sits at the Scorer’s Table and writes names and times on the back of ribbons earned by swimmers.

Clerk of Course- Lines swimmers up in heats for events (part sun/part shade).
Swimmers report to Clerk of Course tent by the starting blocks before each event. Volunteers work together to hand each child the card with their name and line them up by event, heat, and lane noted on the card. The children keep moving forward to the next row as heats progress and then are finally walked up to the blocks for their events. The little ones require a lot of assistance to stay in order and move but the older ones are able to keep track themselves.

Set Up/Take Down- The meet equipment the night before and immediately after the meet (in the sun). Heavy lifting is involved.
• Volunteers meet from 8-9 pm at the pool to set up for home meets by moving and installing starting blocks, lanes lines, flags, tents, clerk of course area, table worker/ribbon writer areas. After the meet volunteers spend about 1 hour to take down and store equipment.

Agreement
The success of the Waugh Chapel Swim Team and all team events is totally dependent upon each individual swimmer and their parent’s commitment to the team.
As a
SWIMMER I will:
• Remain in the team area during all meets and report to the Clerk of Course on time for my event(s).
• If I am swimming in a relay report to the coaching staff no later than 8:00 am at a Saturday meet.
• Respect the judgment and authority of the coaches and meet officials.
As a
PARENT I will:
• Support the team by volunteering for ½ of the meet when my child is swimming.
• If I cannot work an assigned position, I will find a replacement prior to the scheduled job. Failure to work an assigned position or find a replacement will result in a warning and on the second occurrence, in suspension from the team for the remainder of the season. The eligibility of suspended families for the next season will be considered probationary (meaning no warnings will be given prior to re-suspension).
• If you will not be attending a Saturday meet, “sign out” online on the vacation log no later that 12 midnight the Tuesday prior to a Saturday meet.
• Promote good sportsmanship and team spirit by giving children positive encouragement and reinforcement for their efforts.
• If you have any questions regarding coaching leave a note in the head coach’s mailbox, they will then contact you in a timely manner. Because of the size of the team, coaches cannot be made available to answer questions during meets and practices.
• Respect the judgment and authority of the coaches and meet officials.
• Bring individual concerns to the Swim Team Manager.
I understand that if WE do not fulfill this agreement SWIMMERS will not be ELIGIBLE to swim. I further understand that this AGREEMENT does not apply if I am involved in any way in an emergency, an illness, or any other serious reason that is beyond my control.
